Job Summary
The Export Manager is responsible for managing export execution and working closely with the Shipping Team to meet contract and vessel timelines. The role opens shipment files following contract confirmation, coordinates NXP, certificates of origin, phytosanitary and inspection documentation, works closely with the Shipping Team, clearing agents and relevant authorities, tracks vessel bookings, cut-off dates and container readiness, coordinates bills of lading and buyer documentation, and escalates documentation delays immediately, in support of the Head of Business and the wider commercial function.

1. Shipment File Initiation
•Open shipment files promptly following contract confirmation, capturing buyer, contract, product and shipment details accurately.
•Ensure each shipment file is properly structured and tracked from opening through to closure.
2. Export Documentation Coordination
•Coordinate the preparation and processing of NXP forms, certificates of origin, phytosanitary certificates and inspection documentation for each shipment.
•Ensure all export documentation complies with regulatory requirements and buyer/contract specifications.
3. Shipping Team, Clearing Agent and Authority Liaison
•Work closely with the Shipping Team, clearing agents and relevant regulatory authorities (e.g., Customs, NAFDAC, NAQS) to ensure smooth export clearance.
•Build and maintain effective working relationships with agents and authorities to expedite processing and resolve issues.
4. Vessel Booking, Cut-off and Container Readiness Tracking
•Track vessel bookings, cut-off dates and container readiness for all active shipments, coordinating with Shipping and Operations to ensure timelines are met.
•Proactively flag and address risks to vessel/cut-off schedules
5.Bills of Lading and Buyer Documentation Coordination
•Coordinate the preparation, review and dispatch of bills of lading and other buyer-required documentation for each shipment.
•Ensure documentation is accurate, complete and dispatched within timelines required for buyer payment/customs clearance at destination.
6. Documentation Delay Escalation
•Immediately escalate documentation delays, bottlenecks or compliance issues that could affect vessel timelines or contract fulfilment to the Head of Business.
•Propose and implement mitigation actions to minimise the impact of delays.
Requirements
Requirements
B.Sc./HND in Business Administration, International Trade, Shipping/Logistics, or a related field.
Membership of a relevant shipping/freight/trade professional body (e.g., Institute of Chartered Shipbrokers) is an advantage.
Strong working knowledge of Nigerian export procedures, INCOTERMS, and export documentation requirements.
Minimum of 6-8 years' experience in export/shipping operations, including significant experience managing agro-commodity export documentation and vessel coordination, with a track record of meeting contract and vessel timelines.
